How REI Orbit Handles Your Information
This policy covers the website at reiorbit.com and the REI Orbit application at app.reiorbit.com. It is written to be read, not skimmed; if anything is unclear, write to info@reiorbit.com.
Effective October 25, 2026.
Who We Are
REI Orbit ("REI Orbit", "we", "us") provides a customer relationship and project management application for real estate investors in Canada. You can reach us at info@reiorbit.com.
This Website
The website at reiorbit.com sets no cookies, runs no analytics or trackers, and has no forms. Its fonts, images and scripts are served from reiorbit.com; nothing is loaded from a third party. Like any website, its servers may keep standard access logs (the requesting IP address, the page requested, the time and the browser type) for operations and security. We do not use them to identify visitors.
If you email us, we keep your message to answer you and, if you ask for a trial or a demo, to set it up. We do not add you to a mailing list and we do not share your address or your message with anyone else. Write to the same address if you want your messages deleted.
The Application: What We Collect
- Account information. Your name, email address and, if you add it, your phone number; your password, stored only as a one-way hash; or, if you sign in with Google or Microsoft, the account identifier those services give us (see below).
- Business records your workspace enters. Sellers, properties, leads, deals, renovation costs and expenses, rentals, tenants, documents and notes. Your workspace owns these records; we process them to run the application for you.
- Connected mailbox. If you connect your own mailbox to send email from REI Orbit, we store the credentials or tokens needed to send on your behalf and a copy of each email sent through the application, so it appears in the record's history. We do not read your inbox except where a feature you turn on, such as summarizing a seller's reply, needs the messages from that seller.
- Calls. If your workspace places or receives calls through REI Orbit, we may store call details, recordings, transcripts and notes made from them. See Calls and Text Messages below.
- Text messages. If your workspace sends or receives text messages through REI Orbit, we may store the messages and their details. See Calls and Text Messages below.
- Security and usage logs. Sign-in attempts, IP addresses, device identifiers used to protect your account from repeated wrong passwords, and a history of changes to records with who made them and when.
Calls and Text Messages
Calls and text messages made or received through REI Orbit may be recorded, kept, transcribed and analyzed, including by artificial intelligence, to provide the features of the application to your workspace. This may include storing recordings, transcripts, summaries, messages and details such as phone numbers, dates, times and lengths, and adding them to the record they relate to. Some calls and messages may not be recorded or may be deleted, and how long anything is kept depends on your workspace's settings and activity.
Recordings, transcripts and messages are available to members of your workspace according to the roles and permissions its administrators set. Your workspace is responsible for the notices and consents that the law requires before it records, calls or texts anyone. If you do not want to be recorded or texted, tell the business you are dealing with. Replying STOP to a text message asks for texts to stop.
Sign In with Google or Microsoft
If you choose to sign in with a Google or Microsoft account, we ask only for your basic profile: your name, your email address and an account identifier. We use them to create your REI Orbit account, to recognize you when you sign in and to show your name to the other members of your workspace. We do not request or receive access to your email messages, contacts, calendar, files or any other data in your Google or Microsoft account.
We do not sell this information, use it for advertising, or share it with anyone except the service providers that run the application for us. You can disconnect Google or Microsoft from your REI Orbit account at any time in your profile, or revoke REI Orbit's access from your Google Account permissions or your Microsoft account settings. REI Orbit's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
How We Use Information
- To provide, maintain and improve the application and to support you when you ask for help.
- To keep accounts secure: rate-limiting sign-in, locking out repeated wrong passwords and recognizing devices you have used before.
- To send you service messages about your account, such as a password reset you requested or an invitation from your workspace. We do not send marketing email without your consent.
- To bill your workspace for its subscription.
- To meet legal obligations and to enforce our terms.
AI Features
Some features, such as summarizing an email thread or turning a call transcript into notes, use an artificial intelligence provider. They are off until an administrator of your workspace turns them on and sets a monthly spending cap. When they are on, the text needed for that task is sent to the provider under an agreement that it is used only to produce the result for you and not to train the provider's models.
Who We Share Information With
- Members of your workspace, according to the roles and permissions your administrators set.
- Service providers that act on our instructions to host the application, store backups, send email, carry phone calls and text messages and provide AI features. They may process information only to provide their service to us.
- Authorities, when the law requires it or to protect the rights and safety of our users or others.
We do not sell personal information, and we do not share it with advertisers.
Service Providers Outside Canada
Some of the service providers we use to host the application, keep backups, send email, carry calls and text messages and provide AI features operate outside Canada. Some of your information may therefore be stored or processed outside Canada, and while it is there it may be subject to the laws of that country, including lawful access by its authorities. We choose providers that protect information with encryption and contractual limits on what they may do with it. Write to info@reiorbit.com if you have questions about how we use service providers outside Canada.
Security and Retention
Information is encrypted in transit and at rest, backed up every night with encrypted backups kept in a second location, and protected by sign-in rate limits and lockouts. Each business has its own workspace that nobody outside it can see.
We keep your workspace's records for as long as the workspace is active. When a workspace closes, or when you ask us to delete your account, we delete the records within 30 days, except what we must keep by law or for billing. Backups age out on their own schedule after that.
Your Rights
You can ask us for a copy of the personal information we hold about you, ask us to correct it, ask us to delete it, or withdraw a consent you gave, by writing to info@reiorbit.com. We answer within 30 days. If you are not satisfied with our answer, you may contact the Office of the Privacy Commissioner of Canada or the privacy commissioner of your province.
Business records that your workspace entered about other people, such as sellers and tenants, belong to the workspace; requests about them go to the business you dealt with, and we help that business answer.
Children
REI Orbit is a business tool for adults. We do not knowingly collect information from anyone under 18.
Changes to This Policy
When this policy changes, we update the date at the top and, for material changes, tell workspace administrators by email before the change takes effect.
